Quarantine keeps uncertain material from being mistaken for usable stock.

Quarantine keeps uncertain material from being mistaken for usable stock. It needs a physical or clearly controlled location, a system status, and a decision owner. Simply adding a note to an ordinary stock record may not prevent accidental picking.

## Control the exception

- Identify the item, quantity, job or receipt, and reason for hold.
- Separate it from available material and make the status visible.
- Record evidence and the person responsible for disposition.
- Release, return, repair, or dispose through the authorized process.

## An availability example

A hypothetical rack holds 25 sheets, including five with damage under review. The usable balance is not 25 until those five are accepted. Keep the distinction visible to scheduling and purchasing.

## Avoid permanent limbo

Review aging quarantine records regularly. A hold without an owner can consume space and distort availability for months.

## How Millbase can help your shop

### Connect material records to the cabinet job

When a component shortage or material change affects a job, start with the recorded stock and the work it supports. [Millbase inventory](https://millbase.ca/#inventory) keeps quantities, material costs, receipts, stock lots, and usage history together. Use [project tracking](https://millbase.ca/#projects) to review the associated labour and material costs, then reconcile the physical material before making a new commitment.

Ask the [Millbase AI agent](https://millbase.ca/#how-it-works) a question grounded in your workspace records. For example: *“What inventory records do we have for this material, and what usage is recorded against this project?”* You can select a project or worker, ask follow-up questions, and request [supported reports and CSV exports](https://millbase.ca/#insights).

Use the answer to locate the relevant records and investigate the exception. A physical count, approved specification, or supplier confirmation still establishes facts that have not been recorded.

## Frequently asked questions

### Can quarantined material be used for another purpose?

Possibly, after an authorized review confirms suitability, ownership, and the new specification. Record the decision.

### Should quarantine affect on-hand quantity?

It may remain physically on hand while being excluded from available stock. Reports should distinguish those states.
