Labor records are most useful when they explain which job and operation consumed time.

Labor records are most useful when they explain which job and operation consumed time. A daily attendance total cannot show whether hours went into assembly, finishing, installation, or rework. Keep the recording choices simple enough for consistent floor use.

## Define the minimum entry

- Identify the worker, job, workstation or task, and start and stop times.
- Explain how to record shared work, interruptions, breaks, and corrections.
- Give rework its own reason while keeping it attached to the original job.
- Review missing or overlapping entries promptly with the people involved.

## An illustrative comparison

Two jobs each use 40 labor hours. One used 30 in assembly and ten in finishing; the other used 20 in each. A single total hides the difference that an estimator needs when quoting a similar finish-heavy order.

## Review without blame

Use unexplained variance as a question about scope, material readiness, instructions, or estimates. Individual speed comparisons can mislead when workers receive different tasks or support other stations.

## Make the codes usable at the point of work

Keep active job and station choices recognizable to operators. Include a legitimate way to record setup, maintenance, training, or another approved indirect activity so people are not forced to select an unrelated customer job. Retire obsolete choices without erasing the history attached to them.

Explain how shared work should be recorded. If one setup serves several jobs, the allocation policy should be consistent and documented. Requiring an operator to invent a split at the end of a shift creates apparent precision with little reliability.

## Review exceptions close to the work

Check missing stops, overlapping entries, unassigned time, and corrections promptly while the employee can still explain them. Preserve the original entry and the correction reason where the system supports it. A manager should be able to distinguish a recording mistake from a real production issue.

Use time records with scope and accepted output when comparing jobs. A longer duration can reflect a more complex finish, rework, a customer change, or interrupted work. The number alone does not establish poor performance, and a job-cost rate should not be confused with an employee's wage or payroll calculation.

## How Millbase can help your shop

### Connect the person, workstation, and job

With [Millbase QR time tracking](https://millbase.ca/#time-tracking), employees use a personal keycard and a shared kiosk to record time against selected work. [Worker profiles and labour records](https://millbase.ca/#workforce) let managers review the hours by person, project, and workstation. That gives a shift handoff or capacity discussion a consistent starting point.

Ask the [Millbase AI agent](https://millbase.ca/#how-it-works) a question grounded in your workspace records. For example: *“Break down this week’s recorded hours by worker, project, and workstation.”* You can select a project or worker, ask follow-up questions, and request [supported reports and CSV exports](https://millbase.ca/#insights).

Review missing or corrected entries with the team before using the totals. Logged activity provides operational context; it does not independently verify qualifications, attendance policy, or payroll treatment.

## Frequently asked questions

### Are labor hours the same as elapsed production time?

No. Two people working together for one hour produce two labor hours but one elapsed hour. Waiting time adds another distinct measure.

### Should workers correct their own mistakes?

A simple correction path helps accuracy, but retain the original entry, reason, and appropriate review so changes remain traceable.
