Tracking Outsourced Finishing and Specialty Work

Outsourced work remains part of your production commitment even when it leaves the building. Track what was sent, the specification, expected return, and acceptance status. A purchase order alone may not show which physical components are waiting outside the shop.

Control the handoff

  • Identify job, parts, quantities, condition, and approved specification.
  • Agree on delivery and return responsibilities and required documentation.
  • Record dispatch and expected completion dates.
  • Inspect returned work and separate accepted items from exceptions.

A return example

A hypothetical subcontract batch returns 18 of 20 panels, with two awaiting correction. Marking the subcontract order received would hide the remaining dependency. Record the accepted quantity and the recovery action for the two outstanding panels.

Review supplier performance

Compare confirmed dates and accepted output, including rework and handling. Share specific exceptions with the supplier so recurring issues can be addressed.

How Millbase can help your shop

Make production conversations specific

A woodworking schedule is easier to review when the team can see the work already recorded. Millbase Floor Pulse shows active workers, projects, workstations, and elapsed time. Pair it with project records to discuss a delayed cabinet order with the people and work behind it, and compare logged labour with the estimate.

Ask the Millbase AI agent a question grounded in your workspace records. For example: “Who is working on this project, at which workstations, and how many hours have been recorded?” You can select a project or worker, ask follow-up questions, and request supported reports and CSV exports.

Use the breakdown to prepare the next production conversation. Current activity and recorded hours are evidence for planning; they do not by themselves prove that an assembly has passed inspection or is ready to ship.

THE PRACTICAL DETAILS

Frequently asked questions

Should outsourced work appear in WIP?

It should remain visible in the production tracking approach, with an external location or status and clear ownership.

Can the subcontractor change the specification?

Changes need the approvals required by the project and your agreement. Do not assume a verbal substitution reaches every affected team.
